PART-TIME (INFO-COUNTER)
We are seeking a dedicated and professional Part-Time Receptionist to join our Muslim organization. As a receptionist, you will be the first point of contact for visitors and members of our organization. Your primary responsibility will be to provide exceptional customer service, manage incoming calls and inquiries, and perform various administrative tasks. This position requires a friendly demeanour, excellent communication skills, and a strong understanding and respect for Islamic values and practices.
JOB DESCRIPTION
1. Greeting and Welcoming Visitors:
Welcome visitors, members, and guests in a warm and professional manner.
Provide necessary information about the organization, its activities, and services.
Ensure visitors are comfortable and address their inquiries or direct them to the appropriate person or department.
2. Answering Calls and Managing Inquiries:
Handle incoming calls, take accurate messages, and route calls to the appropriate staff members.
Respond to inquiries related to the organization's programs, events, or general information.
Maintain a professional and friendly telephone manner.
3. Administrative Support:
Assist with various administrative tasks, including photocopying, scanning, and filing documents.
Manage incoming and outgoing mail, ensuring it is distributed to the correct departments or individuals.
Maintain the reception area's cleanliness and organization.
4. Scheduling and Appointments:
Manage appointment schedules for staff members and coordinate meeting room reservations.
Assist with scheduling events and activities, ensuring all necessary arrangements are in place.
5. Information Management:
Maintain an updated database of contacts, members, and volunteers.
Ensure confidentiality and security of sensitive information.
Help maintain and update the organization's website and social media platforms with relevant information.
6. Collaboration and Teamwork:
Collaborate with other staff members to ensure smooth operation of the organization.
Communicate effectively and professionally with colleagues, volunteers, and external stakeholders.
Participate in staff meetings and contribute ideas for improving organizational efficiency.
REQUIREMENTS
Strong communication skills, both verbal and written, with fluency in English (additional language skills are a plus).
Exceptional interpersonal skills and the ability to interact with people from diverse backgrounds.
Knowledge and understanding of Islamic values and practices, demonstrating respect for religious sensitivities.
Proficiency in using office equipment, including telephone systems, computers, and printers.
Ability to handle multiple tasks and prioritize workload effectively.
Attention to detail and a high level of accuracy in data entry and document management.
Strong organizational and time management skills.
Ability to maintain confidentiality and handle sensitive information with discretion.
Previous experience in reception or customer service roles is desirable.
